Main purpose of job:
Care Co-ordination Network UK (CCNUK) is a networking organisation supporting and promoting key working for disabled children and young people and their families throughout England, Northern Ireland, Scotland and Wales.CCNUK is a registered charity and company based in York with national offices in Scotland and Wales.
The Wales Administrator will have responsibility for providing administrative and some financial assistance to CCNUK Wales in conjunction with the existing part time Wales Administrator based in Cefn Mawr, Wrexham, and will liaise with the CCNUK Administration Manager in York on administrative and financial matters where appropriate.
The Strategic Manager Wales has overall responsibility for all CCNUK’s activity in Wales. Supervision to the Wales Administrator will be provided by the Strategic Manager Wales
Main duties:
Administrative support CCNUK Wales:
- Answering telephone calls, opening mail and developing sufficient knowledge of the work to be able to deal with them independently.
Organise meetings, seminars and conferences, including venues and catering.
Administrative support to the regional/country meetings, the all Wales pilot site meeting and practice exchange.
Provide the necessary administrative support to monitor all work carried out by CCNUK in Wales, including the monitoring and evaluation of work undertaken to support the further development of transition key working in Wales.
Make travel arrangements for staff and volunteers.
Typing and editing of correspondence, minutes and reports and presentations as agreed.
Minuting the CCNUK Wales advisory group, regional networking days and meetings held to support the transition work in Wales, plus other ad hoc meetings as required.
Liaise with the CCNUK Administration Manager to co-ordinate welsh specific information for the production and distribution of the CCNUK newsletter and other publications.
Develop and maintain a Wales specific database compatible with the CCNUK database held in York.
Maintaining and developing filing system and office procedures.
Provide Wales specific information for the CCNUK website.
Financial assistance to the CCNUK Wales:Invoicing, where appropriate, and inline with CCNUK procedures.
Support the preparation of the accounts and budgets where appropriate.
Assist in the preparation of grant submissions.

Person specification:1. Qualifications and skills
Essential:
Good educational background, e.g. 5 GCSEs or equivalent.
A high standard of English; good spoken and written communication skills.
A recognised secretarial or administrative qualification, e.g. NVQ3 in administration or equivalent experience or relevant experience.
Speed and accuracy in Microsoft Word, Access, Excel, PowerPoint and Outlook.
Experience of establishing and updating databases.
Ability to work to a high standard, even under pressure and be part of a team.
High degree of organisation in working methods.
The ability to learn new systems and procedures quickly, and experience of the monitoring and evaluation of project funded grants.
Desirable:
- Skills in financial support.
2. Experience:
Essential:
A minimum of two years administrative experience.
Experience of organising large meetings and conferences.
Ability to communicate at all levels of organisational structures and with individual parents/workers.
Enthusiasm and commitment, including a flexible approach and working to deadlines.
Desirable:
Experience of working in education, health and social care or the voluntary sector.
Experience of working with disabled children and their families.
The post is for 22 hours per week and funded by the Welsh Assembly Government
Salary: £13.500 pro rata.
Terms of contract: until March 2012.
Notice period: one month.
Pension: CCNUK will contribute 8% of salary toward a pension plan.
Leave: 20 days per year plus 10 days public holidays. Management/supervision provided by Strategic Manager Wales.
Location: Cefn Mawr, Wrexham.
Probation: Six months
