AIM OF POST
To assume overall responsibility for the day-to-day management of the building/development. To supervise, monitor and train all personnel to ensure that customer service is a priority at the building/development. To liaise with Landlord's personnel, contractors, specialists and the management team as required. As with the nature of this role there may be times when the Building Manager is required to work in addition to the mentioned hours of work below.
HOURS OF WORK
8AM to 5PM Monday to Friday
MAIN DUTIES AND RESPONSIBILITIES
Supervisory1. To maintain an effective managerial relationship with staff, ensuring that they remain highly motivated and that their work is of the required standard. Ongoing liaison with, and reporting to the Managing Agent will be required.
2. To agree work rotas with the Managing Agent and the setting of daily tasks for the staff.
3. To arrange induction training of new staff on all procedures and to train staff to ensure that they are familiar with relevant procedures and that these are adhered to at all times.
4. To set an example for all staff members by remaining courteous and helpful to all occupiers as well as to members of the public, staff, guests and contractors.
5. To monitor and review all logs and systems of record keeping.
6. To deal with administrative matters relating to the management of the building/development and staff. To work closely in co-operation with the Managing Agent, keeping them well informed of events and issues, which affect the building. To provide written building reports to the Managing Agents on a weekly basis.
7. To ensure that all staff are trained to a sufficient standard in order that they may carry out their duties effectively, efficiently and safely.
8. To oversee the operation of all service contracts relating to the building/development, and to liaise with the Managing Agent with regard to their effectiveness.
9. In consultation with the Managing Agent, assist in the development and management of long term maintenance plans for the building/development.
10. To assist the Managing Agent in the development and implementation of new or revised procedures as required.
11. To be responsible for all matters of a Health & Safety nature, relating to the building/development. This includes assessing training needs, maintenance of log books, accident reporting procedures, compliance with COSHH regulations and contractor permit to work procedures.
12. To walk the building/development on a daily basis to ensure that staff are carrying out their duties in the correct manner. To liaise with staff to instigate corrective measures or procedures.
13. To be responsible for the management of a petty cash fund. All expenditures to be documented and be accompanied by detailed receipts. Any single expenditures in excess of £100 must receive prior approval from the Managing Agent.
14. To account to the Managing Agent for all funds received, for example from the sale of door entry fobs.
Records1. To maintain records of central stores for the building/development in a well organised way, ensuring that appropriate quantities of materials are maintained at all times.
2. To maintain records of all overtime, sickness and holiday for all staff and to submit the relevant forms to the Managing Agent at the required times.
3. To collate and oversee the daily management of records and logs relating to all aspects of the day-to-day running of the building/development.
4. To ensure that all contractors service books and Health & Safety logs are maintained and kept up-to-date.
5. To formulate and maintain a property handbook to enable all staff to respond to queries of residents or other parties. The handbook will provide details of all contracts, plant and systems, detailing emergency and out-of-hours contact information and listing specific contractors who work within the building/development. In addition, documentation relating to the function of all plant and equipment throughout the building/development is to be created and maintained.
General1. The Building Manager is expected to be flexible and undertake reasonable additional duties as required by the Managing Agent, the resident management companies or the freeholder.
2. To report any defect, or Health & Safety concern, no matter what it’s nature, to your line manager.
3. Whilst on duty you should be of tidy personal appearance, and wearing the uniform and identification badge provided.
You should refrain from smoking, swearing or shouting, being under the influence of alcohol or illegal drugs, behaving unsociably, watching TV, sleeping, eating, congregating with others or conducting yourself in a manner deemed unsuitable by members of senior staff.
