As a Client Service Administrator you will be located within and work as an integral part of the client assignment and project teams within the Tax Business Team. You will deliver professional project and administrative services. You will act as a key communication point between members of staff and partners on the team and, on occasions, with the client directly. You will be given the necessary coaching and training to develop your skills to enable you to fully meet the demands and needs of the role. Finance Understand key Tax financial policies, including expense authority limits. Supervise engagement team in the use of PwC finance system (GFS) driving best practice procedures within their teams, using GFS to set up sub codes for the Regional Process Team. DMS:
- Ensure DMS client files are maintained in accordance with national filing protocols.
- Provide DMS support to the team by being a DMS champion for the system, keeping abreast of changes and informing/helping the team accordingly.
- Liaison with CRT/DMS team to rectify any DMS filing anomalies.
- Undertake all procedures relating to the administration of the document management system including:
- Forwarding all documents for scanning ensuring client/directory details is clearly annotated.
- Create and file documentation to DMS (documents sent directly from the scanning team for filing, clients receive copy documentation for action).
- Assist with the filing of historic client documentation to DMS and set up appropriate DMS project files
- Liaise with DMS Business Administration team to ensure new jobs are set up timely, and if appropriate, ensure access restrictions are maintained.
- Maintain local client database and ensure tax return data is filed in the correct format within the relevant DMS project files.
Risk Management:
- Monitor work in progress to ensure statutory deadlines and team deadlines are adhered to
- Monitor internal risk management procedures taking action to ensure compliance with guidelines. This should include DMS docs filed correctly. Reducing duplicates projects. Ensure consents / FROR confirmations, AML checks have been carried out.
- Responsible for business continuity administration where required.
- Undertaking appropriate research as part of the risk management procedures.
Research
Providing updates to your team on relevant business and industry news and issues.
Assignment /Project Team administration:
Monitor assignment project plans, timetables and action lists, taking actions to ensure deadlines are met and suggesting solutions to issues encountered.
Prepare and collate information/materials via Global Office Reporting tools for distribution to the Client Relationship Teams.
Issue reports as necessary detailing the following:
Global Office status of tax returns / Number of tax returns mailed / Tax Returns in Queries / Tax Data Organisers (TDOs) received
Assist with setting up of team meetings/conference calls. Draft agendas and distribute relevant supporting information.
Attend relevant internal client team meetings, taking notes as appropriate and following up on Process Admin Team action points where appropriate.
Support team by carrying out ad hoc administrative duties that may vary on a day to day basis
Complete project assignments as required.
RequirementsYou will ideally have prior work experience (from an administrative/analytical background within a corporate or professional services environment), and with experience of analysing statistical data. You should be educated to a high standard including GCSE Maths and English at grade C or above. You must be able to demonstrate the following:-
- Proven IT skills in Word, Excel, PowerPoint, Lotus Notes, financial systems and research tools
- Strong Numeric and analytical skills. Some background of financial management would be advantageous
- Strong prioritisation, time management and organisation skills.
- Proven delivery of accurate and thorough work
- Proven reliability in customer service and problem solving skills
- Proactive, self-motivated and able to take responsibility for own work under own initiative
- Able to work to deadlines, and flexible with regard to hours (as overtime may be required) as priorities may change a short notice
- Strong influencing and team working skills, able to build and maintain trusting relationships with both clients and colleagues
- Good communication skills (verbal and written) and the ability to liaise confidently and professionally at all levels
- Efficient management of client documents, using paper and electronic filing
- Interest in own self development
Responsibilities- To understand the needs of the client, through regular liaison with the Client Relationship Teams (CRT). Follow up on calls and emails to ensure that client needs are met.
- To build on relationships with CRT ensuring that queries regarding work in progress are answered in a timely and precise manner, thus providing a stronger relationship link to CRT.
- To provide guidance to CRT regarding system queries.
- To ensure that reports issued to CRT are relevant to their needs and concise in their content.
Global Office/IProcess:- Monitor submission of Programme Position Paper 1s (PPP1) and set up and issue tax data organisers (TDOs) to assignees.
- Issue Programme Position Paper II for clients with 5 assignees or above.
- Monitor the submission of TDOs and move IProcess cases forward in the tax return preparation process
- Liaise with Regional Client Relationship Teams (CRT) to resolve any issues arising from TDO set up and submission.
- Issue TDO reminders in accordance with Process Team / CRT timetable
- Package /Package review tax returns ready to be mailed to assignees.
- Issue Tax Return notifications to assignees via Global Office
- Monitor IProcess queues to ensure cases are moving into correct queues. Track down and resolve any anomalies.
Tax Return submission ? Efiling:
- Monitior emails received via the RMP E-filing mailbox to identify signed e-filing forms returned by assignees. Submit tax returns to HM Revenue & Customs (HMRC) using Pertax database.
- Send confirmation email to assignees acknowledging receipt of tax return by HMRC.
- Monitor cases released to the E-filing queue in IProcess and issue periodic reports to CRT regarding status un-signed e-filing forms.
- Maintain and update systems relating to prep and submission of UK tax returns (i.e. IProcess and Global Office and all related spreadsheets)
