The main objective of this role is to maximise efficiencies within the Export department to ensure 100% customer service at all times and to identify opportunities for improvement
Summary of Main Duties and Responsibilities:
·Assist Sales Office Manager and work alongside the UK SOP Manager to ensure 100% efficiency at all times
- Fluent French speaker, german and dutch language skills desirable.
·Preparation of timesheets, holiday recording and lieu time
·Preparation and circulation of monthly reports to agents (i.e. Flortex and Mars Avril)
·Proactively suggest ways of improvement and the reporting of problems to conclusion
·B2B and B2C:
-supervising all tasks and projects given by Website Manager (i.e. translations, orders flowing, contact details amendments)
-B2B assistance for new stockists working alongside Website Manager & Web Support (i.e.: training over the phone)
-Day to day management of B2B accounts (i.e.: contact details, set up of new accounts)
·Staff Development – maintain department training matrices and make recommendations for training needs to be addressed.
·Allocation of tasks between the team members: to be reviewed regularly
·Export SOP meetings: agenda & minutes, 10 minute 1:1 weekly meetings and responsible for chairing monthly team meeting.
·Procedural control: update current procedures and implementation and write new procedures, where necessary
·Assist Sales Office Manager with updating of price lists in all systems
·EU database management: ensure that all databases are kept up to date (i.e. Newsletter, mail shots)
·Weekly meetings with EU sales executive to assist with communication flow.
·Analysis of team competencies.
·Deputise for the UK SOP Manager as required.
Customer Services
·Answer all incoming calls in a courteous and professional manner.
·Record call analysis options.
·Transfer calls to other departments as required.
·Take customer enquiries/colour card & brochure requests/wallpaper sample requests.
·Record from all customers their enquiry source.
·Offer basic technical advice to customers, as required.
Sales Order Processing·Process live orders and take payment.
·Enter fax/hard copy orders in system for account holders.
·Prepare invoices for mailing to customers as and when required.
·Create Pro-formas.
·Control export mail box.
General Duties
·Internal Company filing on a rota basis.
·Supervise any projects related to Export SOP.
·Ensure good communication with all contacts within the department internally and externally.
·Support the finance department with credit control tasks for non English speakers.
·Ad hoc duties as required
