EXHIBITION ADMINISTRATOR
In-cosmetics Group
6 months Fixed Term Contract
(Based in Richmond, Surrey)An exciting and challenging opportunity has arisen to join the B2B in-cosmetics portfolio of exhibitions and events.The role will focus primarily on the administration and co-ordination of in-cosmetics Asia to be held in Bangkok in November 2010. On occasions assistance will be required for other events in the portfolio. This position reports to the Exhibition Manager based in Singapore but overseen by the Head of Sales Administration in the UK Headquarters.
The main tasks include:
The Administrator role, will cover general show administration as well as providing valuable administrative support for the sales and marketing team.
Exhibitor contract maintenance and invoicing
Fulfilling general exhibitor correspondence and enquiries
Putting orders onto AS 400 and setting up new suppliers
Circulating information to the team – including industry magazines, general post and faxes.
Fulfilment of a calendar of deadlines
Assisting the organising team with the production and amendments required for the exhibitor manuals
Updating company/individual records on company database (Onyx)
Organising and managing on-site requirements; e.g. co-coordinating pick up and delivery of supplies and on site materials, collation and creation of the exhibitor welcome pack and SPOC Pack
Arranging meetings, taking minutes, travel and accommodation for the team
Other reasonable duties as required
The ideal candidate will need to be able to demonstrate the following:You are a mature, flexible & enthusiastic team player with a broad range of administrative skills and experience of providing administrative support to a busy and dynamic team.In addition, the following skills and experience are essential:
Excellent telephone manner and good written communication skills.
Ability to organise and prioritise workload.
A high level of computer literacy, including Excel, Word and preferably Powerpoint, although not essential.
Accuracy and attention to detail.
Ability to work in a fast-moving team environment across a range of projects.
Ability to work independently and take the initiative.
Ability to communicate with many different nationalities and cultures.
