If you like the idea of working for a driven Chief Executive of a small charity which acts as an umbrella body, influencing government at the highest levels, then here is your chance!
You will need to have excellent, accurate and fast typing skills (c.60 wpm), as well as the ability to type correspondence directly from the CEO's dictation. Only candidates who are comfortable with this need apply!
Based in small, friendly office in the city a well organised individual (previous secretarial experience) is needed to provide administrative and high level support to the Chief Executive and Director of Policy in all aspects of their roles, developing close working relationships across the membership and with key external contracts.
Impeccable attention to detail, maturity and discretion is required. The role entails dealing with a wide variety people, members, Board trustees, the chief executives of fellow organisations, the press, government officials, MP’s and peers, councils and NHS organisations.
Principal Accountabilities:
1. Work proactively to enhance the effectiveness of the Chief Executive and Director of Policy gathering information and preparing briefing notes as necessary for both internal and external meetings and events, supporting them directly at such events when required. Drafting presentations where necessary.
2. Participate in and minute meetings involving the Chief Executive, the Director of Policy, the Board, Team and other senior managers. Co-ordinate agendas and briefings as necessary in order to ensure the smooth transaction of the business at such meetings. Liaise with a wide range of internal and external personnel in this respect.
3. Manage the workload and diary of the Chief Executive and Director of Policy, ensuring that all business is undertaken in an efficient and effective manner.
4. Work closely with the Chief Executive and Director of Policy to develop a thorough understanding of the demands and requirements of their roles and ensure that the systems and processes are in place to effectively meet these requirements.
5. Deal with a wide range of administrative tasks, correspondence, email, visitors and telephone callers. Follow up and resolve queries where possible or ensure that these are effectively dealt with by other parts of the organisation.
6. Managing filing and bring forward systems supporting Chief Executive and Director of Policy.
7. Oversee travel and related arrangements for the Chief Executive and Director of Policy, ensuring that these accord with the requirements of diaries.
8. Ensure press/media communications are dealt with speedily and professionally. Circulate press releases.
