Job Purpose
To provide professional, accurate and timely administration support to the Managing Director and other Senior Managers.
Working Context
The PA serves the MD and organisation in providing confidential and accurate information, presentation and data.This in turn aides organisational / departmental objectives.Furthermore coordination of all PA issues throughout the organisation.
Impact and Influence
The PA supports the MD and organisation by assisting with their specific needs, aiding them in meetings, report writing and acting as the point of contact in the MDs absence.The PA has a strong links between external and internal personnel in order to coordinate, prioritise material as well as acting in an advisory capacity
This role impacts on other department PA’s within the organisation as the PA may need to call upon other departmental PA’s in order to achieve tasks / objectives.

Main Responsibilities:
- To ensure meetings are accurately recorded and actioned accordingly
- Answering telephone enquiries from Internal Departments, RM and external callers seeking to reach the MD. Fielding calls and taking messages as appropriate
- Arranging meetings, including booking rooms, arrangement of refreshments and circulation of agendas to invited participants
- Preparing documentation requested by the MD for the monthly board meetings
- Drafting documents to disseminate information as requested by the MD
- Word processing letters and documents from hand written notes or general instructions.
- Booking transport and accommodation when needed
- Diary management
- Project management and co-ordination over a wide variety of different areas as and when needed.
- Generating Customer comment letters from the Exact database
- Filing, photocopying and other general administration tasks.
