To ensure timely and accurate payroll processing and associated documentation and maintain records and controls on all vehicle fleet related matters
Payroll
Manage all payroll and personnel related correspondence in the strictest of confidence.Action Payroll Change Requests when received.Liaise with government agencies regarding.Liaise with HRMC regarding PAYE and NI
Prepare statutory returns in an accurate and timely manner
Liaise with pension scheme actuaries and ensure employer and employee contributions.Create schedules for pension contributions
Record private and business car mileage for Car Users
File all payroll paperwork correctly.Other ad hoc payroll duties
Fleet
Maintain and distribute Car User Allowance (CUA) schedule and ensure record of MOT and insurance certificates
Maintain and distribute Fleet Schedule with MOT and road fund expiry dates
Purchase and distribute Fleet road fund licences
Manage fuel card process for CUA and Fleet (refer to SPI 825)
Distribute monthly Fleet and CUA fuel card invoices and record fuel value for P11D records
Register all Fleet accident claims and ensure correct completion of accident claim forms.Liaise with insurers on all Fleet accident matters and communicate actions to the Profit Centre Manager.Ensure prompt payment of Fleet related penalty notices.File all Fleet and CUA paperwork correctly
Update the Motor Insurance Database (MID) whenever there is a change to the Fleet Schedule.Update Operator Licence records whenever there is a change to the Fleet Schedule.Handle insurance claims and related correspondence; vehicle, employee and property
Summary
The Payroll and Fleet Administrator is responsible for the timely and accurate payment of salaries to all employees, and ensuring all deductions; NI, Tax, pension, attachment orders, etc. are correctly calculated and the necessary information and payments passed on to the appropriate agency.
Management and control of the vehicle fleet in accordance with our Operator Licence is of the up most importance to the business and the maintenance of the Fleet Schedule is an important factor in ensuring this compliance
Prompt communication of relevant payroll and fleet matters with the Profit Centre Manager, and ensuing action is taken when required assists in the competent running and control of these two departments
