An opportunity has arisen for an experienced, enthusiastic and proactive Secretary in our Aberdeen office, working across our Assurance, Tax and Advisory practices. This role will be supporting Partners and a full allocation of staff comprising Directors and Senior Managers. You will be required to provide a comprehensive / executive level secretarial service, with an emphasis on complex diary management. The role will also involve assisting with events and client interaction. This is a busy role with a focus on understanding business priorities and ensuring that the Partner diaries are accurate and optimising their time on these priorities. The client facing teams supporting the Partners will also be reliant on you for support and will work with you as one of the team.
Requirements
The successful applicant will form part of the secretarial team in the Aberdeen Office, tasked with providing best practice support for the firm. Experience in the following areas is essential:
- Experience working in a secretarial role, ideally within a professional services or blue chip organisation
- Strong typing skills (ideal typing speed of at least 60-70 words per minute)
- Extensive knowledge of MS2007 and all office practices and support staff procedures.
- Proactive and able to work with limited supervision.
- Above average knowledge of client relationship systems (e.g. 'CRM') and billing systems (e.g. 'GFS').
- Good communication skills, with a firm but fair attitude and the ability to deal effectively at all levels are essential.
- Ability to communicate well within a team environment, actively sharing information and knowledge, promoting and embracing change.
- Excellent interpersonal skills and the ability to build and maintain relationships at all levels.
- Flexible/sensitive approach to staff and workload co-ordination. Demonstration of "can-do" attitude.
- Maintenance of knowledge of organisation/business team structures and the staff within these areas to ensure effective support is provided.
Responsibilities- Deal proactively with incoming correspondence/enquiries (e.g. mail, fax, e-mail), responding as appropriate.
- Advise managers of the most effective and appropriate method of presentation of information, referring to the document production team where appropriate to ensure production of high quality complex documents.
- Take ownership of all enquiries, resolving or escalating (or identifying alternative contacts) as appropriate.
- Manage and maintain key communication networks.
- Anticipate and provide in an easily accessible way all relevant documents through understanding the nature of the work of the team.
- Project manage and organise large events and conferences or similar activities as appropriate to the role.
- Manage demanding diaries, ensuring efficient scheduling of meetings, coordinating with all relevant parties to ensure the best possible use of time and resolving clashes/conflicts appropriately.
- Demonstrate strong organisational skills, regularly act on own initiative, highlighting issues and suggesting possible solutions.
- Anticipate and coordinate travel and meeting arrangements.
- Provide support and coaching for others.
- See and act on opportunities to enhance client service.
- Actively source and share knowledge with others.
- Use the firm's systems effectively - for example, 'GFS' for raising bills and completing basic expense claims, 'CRM' for maintaining client information, etc.
- Exercise confidentiality, discretion and personal sensitivity in all aspects of the role.
- Compliance with PwC policies and procedures in all aspects of the role.
- Build a network of strong working relationships both internally and externally.
