An excellent opportunity has arisen for an experienced and highly proactive PA to provide cover for a 6 to 8 month period (covering maternity leave) within the Tax Human Resource Services (HRS) Reward team, based in PricewaterhouseCoopers (PwC) Leeds.
The PwC Reward practice work with clients to develop and support reward strategies. The team assists the organisation on a wide range of reward issues including developing reward strategies, designing and implementing incentive plans (including share plans), reward benchmarking and salary surveys, pay structure design and job evaluation, and tax and legal technical due diligence. The job holder will be responsible for a busy and demanding partner plus a team of 9 other professional staff, as well as providing back-up support/holiday cover for other secretaries within the office as required. The role is anticipated to begin on 04 January 2010, thus allowing a one-week period of handover with the incumbent. To enable us to meet this date, early applications are strongly encouraged.
RequirementsIn this role, it is essential to be a strong team player and to become a key member of the wider Secretarial Services team. You must also be able to demonstrate:
- A proven track record in providing high quality secretarial support to a team in a demanding environment.
- Excellent typing skills ? a typing speed of at least 50wpm with a high level of accuracy.
- IT skills ? a high level of Word, PowerPoint and Excel skills are essential (preferably Office 2007); experience of Lotus Notes is desirable.
- Extensive diary and e-mail management skills.
- Ability to build and sustain effective working relationships with practice staff and the secretarial and support staff team.
- Ability to work with minimum supervision and to take appropriate initiative.
- First class organisational skills; you must be able to prioritise tasks, remain calm, and be proactive.
- Ability to plan, prioritise and schedule your own work and demonstrate flexibility in working to deadlines.
- Confidence in dealing with contacts at all levels; in particular, senior level staff.
- Discretion, diplomacy and common sense.
- Good interpersonal and communication skills.
- Professional appearance in line with the firm's dress code.
Responsibilities- Deal proactively with incoming correspondence/enquiries (e.g. mail, fax, e-mail), responding as appropriate.
- Advise managers of the most effective and appropriate method of presentation of information, referring to the document production team where necessary to ensure production of high quality complex documents.
- Take ownership of all enquiries, resolving or escalating (or identifying alternative contacts) as appropriate.
- Manage and maintain key communication networks.
- Anticipate and provide in an easily accessible way, all relevant documents through understanding the nature of the work of the team.
- Project manage and organise large events and conferences or similar activities as appropriate to the role.
- Manage demanding diaries, ensuring efficient scheduling of meetings, coordinating with all relevant parties to ensure the best possible use of time and resolving clashes/conflicts appropriately.
- Demonstrate strong organisational skills, regularly act on own initiative, highlighting issues and suggesting possible solutions.
- Anticipate and coordinate travel and meeting arrangements.
- Provide support and coaching for others.
- See and act on opportunities to enhance client service.
- Actively source and share knowledge with others.
- Use the firm's systems (e.g. 'GFS' for raising bills and completing basic expense claims, 'CRM' for maintaining client information, etc).
- Exercise confidentiality, discretion and personal sensitivity in all aspects of the role.
- Compliance with PricewaterhouseCoopers' policies & procedures in all aspects of the role.
- Build a network of strong working relationships both internally and externally.
